Beverly Bryant, chief digital information officer: Let me tell you about the Apollo programme. Guy’s and St Thomas', King's College Hospital and Royal Brompton and Harefield are all coming together to implement Epic. It's an extremely exciting and ambitious programme of work. We're going to completely transform the way we work and the way that we care for patients.
We currently use a number of IT systems and paper records to log the information about the patient and to retrieve information, and this is not the best use of our clinicians' time, having to log in and out of different systems. We're going to be working with Epic to implement one source of information; we call it an EHR or an electronic health record. There will be one record and everything they need to do to help manage and care for patients will be done through this one system.
Khola Khan, lead pharmacist – innovation and improvement: Every single person who's involved in a patient's care will have access to the patient record, whether the patient's in hospital, in a community clinic or in their own home.
Ugo Ogbonna-Godfrey, maternity matron: We will have more time to spend with the patient and a complete overview of their care.
Beverly Bryant: We want to give our staff a modern digital experience that really helps them to give the best possible quality of care they can to their patients.
We're also going to be empowering our patients through the implementation of a new secure patient portal. This will allow patients to gain access to their medical records, to book and manage their appointments, and also engage in the management of their health with their clinicians.
Khola Khan: Having a single, reliable and accessible source of information for every single one of our patients will help us deliver the very best in personalised and safe care.
Ugo Ogbonna-Godfrey: We will be able to easily see whether a patient is at greater risk of having a fall or a pressure ulcer and be able to put the right plan in place.
Khola Khan: And when patients leave hospital, we can manage their follow-up care much better.
Beverly Bryant: The potential to implement Epic across the three organisations gives us an opportunity to reimagine the clinical workflows and really change the experience for all our staff and our patients. I am really looking forward to giving those staff and the patients the platform that they deserve.
Apollo will be the most ambitious programme of clinical pathway transformation we have undertaken. Powered by Epic software, a new electronic health record (EHR) system will replace many of the systems we currently use with a single, integrated and comprehensive source of information. We plan to roll out this programme from spring 2023.
Staff will be able to access the information they need more efficiently so that they spend more time with our patients. This change will also help patients to play a more active role in their health as a partner in their own care. They'll be able to securely access their patient record from the comfort of their home and staff will have access to patient records at the click of a button from any location.
The programme will not only deliver our new Epic EHR system but will help to improve and implement other new technologies. We will be investing in a significant upgrade to our core network, integrating medical devices, introducing speech recognition technologies and intuitive reporting solutions.
We are calling the implementation of our EHR programme Apollo for many reasons:
Apollo reflects our ambition: the programme will include Royal Brompton and Harefield Hospitals – following our merger in February – as well as King's College Hospital. It will include more specialist services than any other UK Epic implementation to date, as well as our community services
Apollo reflects the task at hand: Epic will transform the way that all our staff work. At the right time every one of us will have a role to play in successful implementation that will extend into all corners of the organisation. Just like the story of the cleaner at NASA who, when asked what he did, said: "I'm putting a man on the moon". This is about a whole team effort on a huge scale.
Apollo reflects the difference we'll make: from going live in April 2023, Epic will transform the way that our services are delivered and how our patients engage with us and get involved in their healthcare. It will bring unique opportunities for research from basic science, through better data capture, to patient-driven service improvements and greater efficiency.

A good knowledge of clinical systems and operational processes in the NHS and the desire to make a difference are the key skills we're looking for.

Who are we looking for?
We are going to need a strong, diverse team that is made up of a range of different healthcare professionals. What are the roles in the team?
We are recruiting to roles in a number of teams.
- Deployment team: building, configuring and testing the modules in our Epic system.
- Programme delivery team: managing the delivery of the programme in specific areas.
- Data and analytics team: building the reporting and analytics functions – the data warehouse, the reporting suite including all mandatory, statutory reports and dashboards. This workstream also includes the data migration function.
- Technology teams: making sure relevant systems are integrated and deploying hardware and medical devices.
- Readiness team: getting our organisation ready for the journey ahead. This includes change management processes, training and communicating the future changes with our patients, our staff and our partners.

How do I apply and what is the selection process?

Before applying for a role, please make sure you carefully read the job descriptions, person specification and any further relevant information on the job site. You will be asked to complete an online application. This is a great opportunity to tell us why you would like to join us.
Applications will then be shortlisted and you will be contacted by our recruitment team via email to invite you to the next stage.
For a number of roles we will be inviting shortlisted candidates to take part in a competency test. The aim of the test is to make sure we recruit candidates who are most likely to pass the formal EPIC accreditation to configure our EHR. This test will evaluate the candidate on logic, numerical and reasoning.
The next stage of the process will depend on the role but may include an interview, a stakeholder interview and/or a presentation. This may be conducted in person or virtually via Microsoft Teams.
Please note during the interview process you can highlight your interest/relevant experience in a particular Epic module, however, the final module you work on will be agreed by the recruitment panel taking into consideration a number of factors.
If I do not score well in the competency test will I still be considered as a candidate?
This test gauges your likelihood in passing the Epic accreditation needed for specific roles. This accreditation will be a contractual requirement for the deployment team. A low mark in the competency test indicates that you would find the accreditation extremely difficult and this may end up being stressful for you. Those who do not pass their Epic accreditation will not be able to continue as part of our deployment team.
What training will I receive?
As part of our team you may be (role-dependant) provided with training from world-class EHR provider, Epic at their Epic University. Through this training you will learn how to excel in the team and become part of an ever-growing Epic community.

What is Epic?
Epic is a US-based provider of electronic health records and other healthcare applications. It is used in some of the best hospitals around the world, as well as in the UK. Epic has been implemented in Cambridge University Hospital Trust, University College London, Great Ormond Street and Royal Devon and Exeter. Other Trusts in the UK have also selected Epic and will be going live over the next couple of years. This includes Northern Ireland Health and Social Care, Manchester University Trust and Frimley Park Hospital Trust.
Will I need to travel for these roles?
A number of the roles will require you to travel to the US or to Bristol for training therefore you must have a valid passport and be ready to travel. However with current travel restrictions in place this may change.

Will you be advertising more Apollo jobs on Trac and NHS jobs in the future?
Yes. We are currently advertising roles that will need to start in May 2021. We will then be looking for candidates to join our training and support teams. This will take place towards the end of 2021.
Where will the team be based?
We will be based in Lower Marsh, near Waterloo station, in London.
Will I be able to work from home in any of these roles?
For the majority of these roles, we will need team members to be on site as you will be working closely with our clinical and operational teams.
There may be exceptions during periods where close interaction with clinical and operational staff is less intensive.
Why are some roles permanent and others fixed term?
Most readiness team and end-user training roles are fixed term for the duration of the programme.
Deployment team roles are permanent as going live is only the start of our journey. We will need our deployment team to optimise Epic as our organisation evolves.
Secondments into a role in your current band may be possible in all teams for staff at Guy's and St Thomas', Royal Brompton and Harefield and King's College Hospital. Secondment requests should be discussed with the hiring manager.
Are there part-time opportunities?
Posts are advertised as full time due to the scale and expected pace of the programme.
However for those that are experts in their field, there may be opportunities for part-time working arrangements.
Part-time working should be discussed with the hiring manager.
The roles advertised are banded. If I am a doctor or dentist, will applying for these roles affect my salary?
For medical and dental roles that are not banded, we will make efforts to match the salary you currently receive.
Will you support clinicians to keep their professional registration?
Yes. It is important that we support professional registrations to be maintained. It will also provide context for Epic in a clinical setting.
What are the career progression opportunities for those that become part of the team?
Epic is live in 400 different organisations across the globe and the accreditation is a highly sought-after qualification. In the UK there are a number of sites that have implemented Epic with others likely to do the same.
